The AI Admin Playbook — Meetings, Emails, Documents, Reports. Full Week Walkthrough.
What the AI-augmented admin workflow looks like for a solo operator or small team. Tools, prompts, time per task, and the places where human review is non-negotiable.
Not a theory of AI-augmented admin work — an actual week, Monday through Friday, tools named, prompts shown, time per task logged honestly, and the specific moments where handing it fully to AI would have been a mistake.
Monday: Meetings
Tool: a transcription assistant (Otter or Fireflies) for three client calls. SOP: record with consent, let it auto-generate summary and action items, human-review each summary for accuracy before it goes into the project record — transcription tools reliably mishear names and numbers, and both are exactly the details that matter most. Time: fifteen minutes of review across three calls, down from an estimated ninety minutes of manual note-taking and typing up.
Tuesday: Email Triage
Tool: a general assistant reviewing the inbox backlog. SOP: batch-categorize by urgency and type, draft responses for the routine ones following the Day 9 workflow, flag anything requiring real judgment for manual handling. Time: forty minutes for a full inbox pass, non-negotiable human review before any reply sends.
Wednesday: Documents
Tool: document AI for a contract review and a proposal draft. SOP: upload, request a structured summary of key terms for the contract, request a first draft for the proposal using the voice profile from Day 19. Time: fifty minutes total, including the mandatory full read-through before either document goes anywhere external — this is one of the non-negotiable human-review points in the week.
Every day this week had a place AI could not finish the job alone. That's not a flaw in the workflow. That's the workflow.
Thursday: Reports
Tool: general assistant with the week's raw numbers exported from the relevant platforms. SOP: paste, request a plain-language summary plus three flagged items, cross-check every number against the source before it goes into any client-facing report. Time: thirty-five minutes, most of it in the verification step.
Friday: Scheduling And Wrap-Up
Tool: an AI scheduling assistant reshuffling next week's calendar around priority work flagged during the week. SOP: review the proposed week once, adjust manually where it misjudged priority — the same non-negotiable review from the CRM and calendar workflows discussed earlier in this series. Time: twenty minutes.
The Week's Honest Total
Total AI-assisted time across all five days: roughly two hours forty minutes, including every review step counted honestly. Estimated fully-manual equivalent for the same task set: around six and a half hours. A real, meaningful saving — and every single day still had at least one moment where a human had to actually read the thing before it went anywhere. That's not a limitation of this particular workflow. It's the permanent shape of AI-augmented admin work done responsibly.
